C-Side Spa Terms and Conditions
C-Side Spa is a luxury spa inspired by the backdrop of the Cotswold countryside, situated at and administered by Cowley Manor Experimental. We are located at Cowley Manor, Cowley, Cheltenham GL53 9NL and can be contacted by email at c-side@cowleymanor.com, by phone at+44(0)1242 870902 or using such other contact details set out in the Terms or on our website.
Our opening hours, details of our facilities and any further information about us can be found on our website.
Please read these C-Side Spa terms and conditions (the “Terms”) carefully.
The Terms explain both our responsibilities to you and your responsibilities to us and other users when you attend C-Side Spa, to ensure the better enjoyment of the facilities by all users. These Terms further explain how you may join C-Side Spa as a Member, and the applicable terms governing such membership.
We may make reasonable changes to the Terms at any time. We will seek to notify C-Side Spa Members before the implementation of any significant changes, using the contact details provided to us in your application form (or as you may update from time to time in writing to us). Any updated version of the Terms will be uploaded on our website.
The Terms (together with the application form, for Members) constitute a contract between you (whose respective details are set out in the application form, for Members) and us.
The Terms (together with the application form, for Members), shall set out the terms of your use of C-Side Spa.
These Terms were last updated in November 2025.
1. Definitions.
i. “Guest(s)” means an authorised Member’s guest.
ii. “Hotel Guest” means a guest staying at Cowley Manor Experimental.
iii. “Member” means a member of C-Side Spa.
iv. “our website” means the C-Side Spa website, available at: https://www.cowleymanorexperimental.com/spa.
v. “users” means those individuals authorised to use the C-Side Spa premises whether as a Member, Guest or Hotel Guest.
vi. “we”, “our”, “us” or similar means Experimental Manor Amethyst Ltd (Company number: 13998745) of 19 Gerrard Street, London, England, W1D 6JG, being the legal entity operating and responsible for C-Side Spa and Cowley Manor.
2. Membership.
i. Membership Application: To become a member of C-Side Spa an applicant must complete our application form, which will be provided upon request at our premises. As part of the application process, the applicant will choose a membership package (which details are available on our website and at the C-Side Spa reception on demand) and provide certain personal information (including their name, contact details and date of birth). Completed applications must be submitted to us in person at the C-Side Spa reception.
ii. Fees:
a. The applicable membership fees vary depending on the membership package selected by the applicant. The applicable fees will be as indicated in the documentation provided to you with the application form, and as confirmed on the applicant’s completed application form.
b. Membership fees must be paid in advance for each year of membership (i) upon submission of the application form for the initial membership year and (ii) on or before the end date of the current membership year for each subsequent membership year.
c. Joining fees may be charged for new members or any previous members who have not had a valid membership in the 3 years (or more) preceding the current application.
d. Fees may be paid to us by debit or credit card (Visa, Mastercard, AMEX,Maestro) or bank transfer. We do not accept cheques or cash payments.
e. Subject always to your statutory cancellation rights, once your application is accepted, joining fees and membership fees are non-refundable.
iii. Application Refusal: C-Side Spa reserves the right to refuse a membership application from any applicant for any reason. If an application is refused, any membership and joining fees already paid to us will be refunded to the applicant as promptly as possible.
iv. Membership Card:
a. C-Side Spa will issue to all successful applicants a nominative membership card, which must be presented each time the Member enters C-Side Spa. We may refuse you entry to C-Side Spa if you do not present a valid membership card on entry.
b. Membership cards are non-transferable and must not be lent to or used by another person. If another person uses your membership card, we have a right to terminate your membership.
c. If you lose your membership card, we reserve the right to charge a fee of £50 (as may be updated from time to time) for replacement cards.
d. The membership card remains at all times our property. It must be returned to us on termination of your membership.
v. Membership Duration: Unless terminated earlier by us or extended because of a freeze, a membership will last for a period of 12 months starting on the start date you have indicated in your application form.
vi. Membership Entitlement: Your membership entitlement (including, for instance, with respect to the days and times during which you may attend C-Side Spa, any free guest passes, fitness classes entitlements and other perks) will be as detailed in the membership package chosen by you and as indicated on your completed application form. Please note that Gold Members’ overnight stay entitlement must be used by the Member named on the applicable gold membership and therefore may not be gifted to third parties. Gold Members’ overnight stays must be redeemend at Cowley Manor Experimental and are subject to availability.
Unless indicated otherwise in your membership package, memberships are not inclusive of any treatments, food or drinks. Any such items are subject to additional payments, which must be settled at the time of booking or purchase (as applicable).
Membership entitlements cannot be carried over to a subsequent membership year.
vii. Guests:
a. Members may, on payment of the applicable guest fee or by using a free guest pass (if entitled to any), bring a maximum of 3 Guests (adults and/or children) per visit. Guests are required to sign in on entry and must be accompanied by a Member at all times.
b. Members are responsible for the behaviour of their Guests, including their compliance with these Terms throughout their stay.
c. Guests cannot attend C-Side Spa during the children swim times, currently taking place from 8am to 11am and 3.30pm to 5pm each day (as may be updated from time to time).
d. Unless we have provided our prior written consent, Members must not introduce as Guests: (i) any individuals whose membership application has been refused by us, (ii) any Members whose membership is subject to a freeze and/or (iii) any previous members who had their membership terminated or cancelled by us.
e. During June, July and August, Members wishing to bring in Guests must pre-book guest passes by contacting us online, by email, by phone or in person, using our contact details as indicated in these Terms, our website or such other contact details we may notify to you from time to time. We may refuse to issue passes at our absolute discretion, including if Members have not successfully pre-booked the passes.
f. We reserve the right to refuse admission to any Guest for anyreason.
viii. Membership Renewal:
a. You may renew your membership by making a payment to C-Side Spa in person at our reception on or before the end of their current membership year.
b. If you wish to renew your membership after expiry of your current membership year then: (i) you may need to complete a new application form, (ii) you may have to join the wait list, and accordingly may be unable to renew your membership with immediate effect and (iii) if your last membership expired 3 or more years prior to your new membership, you will be required to pay a rejoining fee (which amount shall be confirmed to you on your application form).
c. Membership fees are reviewed annually. Changes to membership fees will be notified to you one month prior to the expiry of your current membership. Notifications will be communicated to you via the contact details you provided to us in your application form or as otherwise updated by you in writing to us from time to time.
ix. Freezing your Membership:
a. You may freeze your membership at any time once in a membership year for a minimum period of 4 weeks and a maximum period of 4 months.
b. To request a membership freeze, you must write to us by email at charlotte@cowleymanor.com, at least one month prior to the requested start date of the freeze, and inform us of the requested start and end dates of the freeze.
c. If you wish to extend the freeze or unfreeze your membership early, you must send a request to charlotte@cowleymanor.com at least 3 days prior to (a) the original end date of your freeze (if you wish to extend the freeze) or (b) the new date on which you require the freeze to end (if you wish to unfreeze your membership early). Any such requests are subject to the minimum and maximum freeze periods indicated under this paragraph
2.ix. : any requests to unfreeze a membership prior to 4 weeks or extend a freeze beyond 4 months will therefore be rejected.
d. During a membership freeze, your membership card will be withdrawn and you will not be able to use the C-Side Spa premises, whether as a Member or as a Guest.
e. If your freeze request is accepted, your membership end date will be extended to account for the freeze period.
x. Termination:
a. We may terminate your membership at any time, at our sole discretion. Without limitation, reasons that may lead us to terminate early a Member’s membership include where:
1. a Member refuses to accept these Terms and/or any reasonable amendments to these Terms made by us;
2. a Member fails to observe or breaches these Terms;
3. with the Member’s knowledge or permission, another person uses the Member’s membership card;
4. a Member and/or their Guest uses (in our reasonable opinion) rude, abusive or harassing language (whether verbally or in writing) and/or behaves or threatens to behave in a violent or aggressive way on the C-Side Spa premises;
5. we receive any complaint about a Member’s behaviour, a Member persistently behaves inappropriately (in our reasonable opinion), or we believe that a Member’s continued membership is not in the interests of other users or our staff;
6. a Member or their Guest makes (in our reasonable opinion) false and/or disparaging statements (whether made (without limitation) online, onsite or more widely within the local community),concerning us, C-Side Spa, Cowley Manor, the Experimental Group or their owners, management, employees or agents (including contracted personnel) or any Member, Guest or Hotel Guest.
b. If, in our sole opinion, any of the reasons outlined above apply, we may in addition to our right to cancel your membership, ask you (and your Guests) to leave the C-Side Spa premises immediately, ban you (and your Guests) permanently from our premises and/or,where appropriate, report you (and your Guests) to the police.
c. Upon termination or cancellation of your membership, no joining fees or any other payments will be refunded, other than membership fees which may be refunded on a pro rata basis, subject to any right of set-off for loss or damage or in relation to other sums owed by you to us.
d. If we terminate your membership early, (1) we will not accept any future applications for membership that you may submit and (2) you will not be allowed to enter the C-Side Spa premises as a Guest or for any other reason.
xi. Force Majeure: If access to C-Side Spa is delayed or prevented due to events outside our control (such as, without limitation, an epidemic, apandemic, a flood or fire), we will endeavour to minimise any such interruption. However in the event of an extended closure of C-Side Spa, we reserve the right to freeze (for a period determined at our discretion taking into account the event that has occurred) or terminate a Member’s membership.
3. Variations in Opening Hours and Facilities.
i. From time to time we may need to vary our opening hours or close the C-Side Spa premises or any part thereof. This may be, for instance, in order to carry out any repairs, alterations, re-decorations, accommodate events or otherwise.
ii. Where our opening hours or facilities are modified, we will endeavour to update our website and notify Hotel Guests and Members accordingly, however in certain circumstances we may be unable to provide priornotice (for instance, if emergency repairs are required).
iii. No refunds will be issued for any variation in the facilities or the times at which C-Side Spa may be used.
4. Spa Treatments.
i. We recommend that you book any treatment in advance, whether in person at our C-Side Spa reception or online via our booking platform available on our website. Please inform us at the time of booking of any health concerns or pregnancy.
ii. Treatment fees are inclusive of VAT and must be paid at the time of booking. Treatment tariffs may be subject to revision at our discretion without notice.
iii. We ask you to arrive at least 15 minutes before the start of your treatment booking. All indicated treatment times include a short consultation. Please note that if you arrive late for your spa treatment, your treatment time will be shortened.
iv. If you need to cancel or reschedule your appointment, please contact us as soon as possible. If you cancel or reschedule less than 48 hours prior to your scheduled appointment, you will still be liable to pay the full fee and, to the extent the fee has already been paid, no refunds will be issued.
5. Gym Area and Fitness Classes.
i. Users may only use the gym area after having been inducted by a qualified member of the C-Side Spa staff.
ii. We offer fitness classes from time to time, which may be booked via our online platform accessible on our website. Payment for such fitness classes (if any) must be settled at the time of booking.
iii. A 48-hour cancellation applies to any fitness classes bookings. If you cancel your booking less than 48 hours prior to the class start time, no refunds will be issued and a £10 charge may apply. This charge must be paid as soon as possible. If you are a Member, your membership will be suspended until all such late cancellation charges are settled.
iv. We reserve the right to make reasonable changes to the type and quantity of classes and equipment offered at C-Side Spa.
6. Gift Vouchers
i. You may purchase spa experiences gift vouchers on our website at https://cowleymanor.wearegifted.co.uk/.
ii. The terms applying to gift vouchers shall be as specified inthe voucher terms of sale at https://cowleymanor.wearegifted.co.uk/terms-conditions and on the selected voucher’s subpage.
7. Children.
Hotel Guests’ and Members’children under 16 years old are welcome at C-Side Spa under the following conditions:
i. Children must at all times be accompanied and supervised by an adult, who is responsible for their behaviour and safety. The accompanying adult confirms, by accepting these Terms, that (i) they are accepting the Terms on both their and the child’s behalf, (ii) they are the child’s parent or guardian, (iii) they will remain present with the child at all times during the child’s use of our premises and (iv) they take full responsibility for the child’s behaviour and safety whilst the child is on our premises;
ii. Children can only access our pool areas during the children swimming hours, which are currently taking place from 8am to 11am and 3.30pm to 5pm each day (as may be updated from time to time).
iii. Children cannot access other premises at C-Side Spa (without limitation children therefore cannot access the sauna, steam room or gym facilities).
iv. Prior to their entry to C-Side Spa, Members’ children must benotified to us and the applicable child fee (as detailed on our website) must be paid.
8. Health and Safety.
i. By attending our premises, all users warrant (for themselves and any children accompanying them) that their health and physical condition issuch as not to involve any risk to themselves or to any other person using our premises. This includes that the users (and their children) do not have any infectious illness, condition or other ailment (including physical ailment such as open cuts, abrasions, open sores or minor infections where there is a risk that these may be detrimental to the health, safety, comfort or physical condition of other users).
ii. Users further acknowledge and agree that:
a. it is each user’s responsibility to ensure that they and their children are physically capable of undergoing any activity: all activities and treatments (where applicable) are pursued at the user’s own risk;
b. if you have any concerns about whether attending C-Side Spa is suitable for you or your children, you should consult a doctor prior to visiting. This includes without limitation if you suffer from any injury or if you are pregnant;
c. to ensure the safety of all members and guest, you must pay attention to all signs relating to healthand safety at C-Side Spa. If you do not understand a notice or sign, please ask a member of staff;
d. if you suffer an accident or injury on the C-Side Spa premises, you must immediately report it, as well as the circumstances under which it happened, to a member of staff;
e. fire exits are clearly marked throughout the C-Side Spa facilities. If there is a fire, if you hear the fire alarm or if you are requested by a manager to evacuate the premises, you should make your way out of C-Side Spa immediately through the nearest exit to the assembly point in the car park.
9. Conduct.
i. All users (including, where applicable, children) must shower before and after using the pool areas and, where applicable, steam room and sauna.
ii. Shaving, brushing teeth or exfoliating are not permitted in the pool areas, steam room and sauna.
iii. The pool areas are not supervised. No diving, jumping or splashing is allowed in the pool areas.
iv. No shoes or outdoor clothing should be worn around the indoor pool area.
v. Users must not use the steam room or sauna if they have consumed alcohol, are pregnant, have high blood pressure, heart conditions or other cardiovascular conditions. It is recommended to use the steam room or sauna for no longer than 15-20 minutes and to cool down afterwards gradually.
vi. We expect all users to behave appropriately, respectfully and politely at all times whilst they are at C-Side Spa. Users must at all times follow any guidelines displayed at C-Side Spa and any instructions given by the C-Side Spa staff. We may prevent users from entering our premises or ask them to leave if we think their behaviour is inappropriate.
vii. Without limitation, users are not allowed to:
a. use the facilities whilst under the influence of alcohol or drugs, or bring any alcoholic beverages or drugs of any kind into C-Side Spa;
b. smoke anywhere within C-Side Spa;
c. bring pets to C-Side Spa;
d. bring their own food and drinks onto the C-Side Spa premises; or
e. remove C-Side Spa’s property from our premises (such as towels provided as a courtesy to users during their usage of C-Side Spa).
viii. Appropriate dress code, including swimwear if entering the pool areas and proper gym wear, including footwear, in the gym facilities, is required at all times.
ix. Any breach of this paragraph 9 or any of the Terms may result in your immediate expulsion from C-Side Spa and (where appropriate, in our reasonable opinion) legal action.
10. Personal Possessions and Lockers.
i. All personal possessions are brought to C-Side Spa at your own risk. We strongly advise users not to bring money or valuables.
ii. We offer lockers on our premises. The key to your locker will be provided upon arrival and must be returned at the C-Side Spa reception upon departure.
iii. Any lost property (including any belongings left in lockers after your stay) will be retained for a period of 3 months. If you do not claim your lost property within this period, they may be disposed of and/or given to charity.
11. Photographs and Videos.
i. Users are asked not to use mobile phones, laptops, tablets or other electronics at C-Side Spa, other than in the outside areas.
ii. Filming and photography are only permitted on the C-Side Spa premises if carried out discreetly and where no other Users are in shot.
12. CCTV and Data Protection.
i. For the safety and security of staff and users, closed circuit cameras (which may include audio in certain areas) operate throughout our premises by the indoor pool, outdoor pool, reception, gym and stairs to the spa. Any unlawful activity on our premises may be reviewed for possible legal action.

13. Complaints.
i. If, as a user, you have any complaint about your experience at C-Side Spa, please inform a member of our staff as soon as possible and we will endeavour to resolve any such problem promptly, using our best efforts to find a satisfactory solution.
If you are however not satisfied with our initial response, please contact charlotte@cowleymanor.com.
ii. If, as a Member, you have any complaint about our decision to terminate your membership or any other action we may have taken in respect of your membership or to restrict access to our premises, you may appeal any such decision by writing to us setting out your complaint at: charlotte@cowleymanor.com. We will consider and take into account your appeal as quickly as possible, using our best efforts to find a satisfactory solution. However please note that any final decision remains at our sole discretion.
14. Liability.
i. We reserve the right to charge users for any damage caused as a result of their or their children’s actions whilst at C-Side Spa.
ii. We do not accept liability for damage or loss to users’ (or their children’s) property that may occur on the C-Side Spa premises, other than liability that arises from our and/or our staff’s negligence or failure to take reasonable care.
iii. We do not accept liability for the injury or death of any user (or their children) that may occur on the C-Side Spa premises, other than liability that arises from our and/or our staff’s negligence or failure to take reasonable care.
iv. Nothing in these terms and conditions is meant to limit any rights that may not be limited or excluded by law, including any such rights you may have as a consumer.
15. Assignment.
i. We can transfer our contract with you, so that a different organisation may be responsible for supplying you with the services. We will tell you in writing if this happens and we will ensure that the transfer won't affect your rights under the contract.
ii. You cannot transfer your contract with us to someone else.
16. Third Party Rights.
i. This contract is between you and us. Unless we transfer it in accordance with paragraph 15.i. above, nobody else can enforce it and neither of us will need to ask anybody else to sign-off on ending or changing it.
17. Severance.
i. If a court or other authority decides that some of these terms are unlawful, the rest of the terms will continue to apply.
18. No Waiver.
i. Even if we delay enforcing this contract (or part of it), we can still enforce it later. We might not immediately chase you for not doing something or for doing something that you are not allowed to, but that does not mean that we cannot do it later.
